The fonds consists of a collection of reference files created by Columbian staff members over a number of years. The files were accessed by staff members to provide information about a given person or subject. The content of these files is predominately black and white photographic prints and associated newspaper clippings. There are also other types of documents in the files such as pamphlets, circulars, assignment sheets, and memos. The fonds contains five series: People Files, Subject Files, and Sports Files, Sports Mug Shots, and New Westminster Today Photos. These records are sorted alphabetically except for the New Westminster Today photos which are filed chronologically.

The fonds consists of a bound, handwritten transcribed copy of Robert Haswell's log of the Columbia, which chronicles two trips of her sister ship, the sloop Washington, to the vicinity of the Strait of Juan de Fuca in 1789. The fonds also includes a photostatic copy of Captain Robert Gray's log for the Columbia in 1791. It records voyages along the northwest coast of Washington State and British Columbia.

Fonds includes mineral claim plans and reference maps as well as building and equipment plans.

St. Ann's Academy (Victoria, B.C.) fonds

The fonds consists of textual records of the St. Ann's Academy local house, including four sous-fonds. The first two belong to the Superior and the Bursar; the third was generated by the Commercial Department of the school; and the fourth belongs to the Treasurer who kept the accounts of the St. Ann's Secondary School next door to the Academy in the 1960s and 1970s. Each of these officers maintained records in the course of their respective duties until the Academy and secondary school were finally closed and all activities ceased by 1975. Given that the primary function of this local house was education, the fonds consists mainly of school records as well as some house accounts, and other records. The school records and even general house records tend to follow the pattern of the school year from August/September to June/July. Records divide into series and sometimes subseries of files. They include account books known by their French name comptes-rendus, student registers, receipts and expenses, boarders' accounts, commercial accounts, day scholar accounts, payroll ledgers, council minutes, names and addresses of students, alumni records, and other miscellaneous material.
